Terms of Service

The agreement between us and the coach operators who subscribe. Written to be read, not skimmed: the dates in section 8 are the dates the software keeps.

Last updated 8 October 2026. Applies to free trials and subscriptions started on or after that date. Questions to team@theconductor.uk.

The short version

  • Your business's first subscription starts with a free trial: three months, longer if your first trip runs later (up to six months), with no card and nothing charged. To carry on you add a card; if you don't, it ends on the day the trial does (section 4).
  • After the trial you pay in advance for a rolling subscription and can cancel whenever you like. The service runs to the end of the period you paid for and then stops. No refunds for the rest of a period.
  • Booking emails are never limited. Each booking site includes up to 25,000 marketing emails a month, with no limit on the size of your list. Need more in a busy month? A top-up of 25,000 more costs £29, on any plan.
  • Your passengers pay you, into your own Stripe account. We never hold their money, and refunds, cancellations and running the trip are yours.
  • You are the coach operator and the carrier. We provide the software.
  • When your free trial or paid period ends, your public booking site stops taking bookings the same day. You keep a read-only sign-in for 30 days to download everything. After that your sign-in closes and your passengers' personal details are deleted. Your trips and takings records stay.
  • Your passengers' details are yours: you are the data controller and we process them for you. We never contact your passengers on our own account.

1. Who we are, and what these terms cover

The Conductor is a trading name of Paul Carr, a sole trader, of 19 Lavery Avenue, Larbert, Stirlingshire FK5 4GF ("we", "us"). You can reach us at team@theconductor.uk.

These terms are the agreement between us and the business that buys a subscription ("you", "the operator"). They cover the software, the booking website we run for you, and what happens to your passengers' information. By buying a subscription on our pricing page you agree to them. If you are buying on behalf of a company or partnership, you confirm you are entitled to bind it.

These terms are written for businesses. The Conductor is not sold to consumers.

The Privacy Policy is part of these terms. Where the two say different things about personal data, the Privacy Policy wins.

2. The service

When you subscribe we set up, usually within a minute or two of payment:

  • A public booking website at your own web address (your-name.bookaseat.uk), where passengers can see your trips, book and pay for seats, join a waiting list for a full coach, and send you charter enquiries.
  • Operator tools behind a sign-in: putting trips on sale, seeing who has booked, boarding lists, phone bookings, quotes for private hire, reminders to passengers, and a running record of your takings.
  • Emails to your passengers, sent on your behalf in your name — booking confirmations, reminders, boarding details, changes you make, and, if you choose to use it, a message to past passengers when you put a new trip on sale. Replies go to the address you set, not to us.

The web address is ours and stays ours; you have the use of it while you subscribe and it is not transferable. You can use as many booking sites as you buy subscriptions for.

We may improve, change or retire parts of the service over time. Where a change would materially reduce what you get, we will tell you by email at least 30 days beforehand (section 14).

3. Your account

Your sign-in is tied to the email address you bought with. Keep your password safe and tell us at once if you think somebody else has it. Anything done through your sign-in is treated as done by you, including by your staff. You are responsible for the people you give access to.

The details you give us about your business — trading name, contact address, phone number, terms you show to passengers — must be accurate and kept up to date, because they are printed on your booking site and in every email to your passengers.

4. Price, payment and the free trial

The subscription is sold at the prices shown on our pricing page at the time you buy: monthly, six-monthly or yearly. There is no setup fee and no per-booking fee. We are not VAT registered and no VAT is charged; the price shown is the whole price.

Free trial. Your business's first subscription starts with a free trial of 90 days, whichever plan you choose. You do not give us a card to start it, and nothing is charged during it. If none of your trips has run by the time the trial is due to end and you have a trip on sale for a later date, the trial is extended to the end of the calendar month that trip runs in, but never to more than six months from the day the trial started; we email you when that happens. We also email you a week before the trial ends.

To carry on after the trial, add a card in your account (Settings, then Manage billing) before it ends; from that day you pay the plan price as set out below. If there is no card on file when the trial ends, your subscription ends that day and section 8 applies from then, exactly as if a paid period had run out. You can also end a trial early by emailing us, and section 8 then applies from that day.

The free trial is once per business. If your business has had a subscription with us before, a new one starts without a trial: we cancel a trial started by mistake, nothing is charged, and we email you the way back. We may change or withdraw the free trial for new subscribers at any time, but that does not affect a trial that has already started.

Launch prices and the first-trip guarantee. These were offered before 8 October 2026 and are no longer offered. If you subscribed before that date, the launch-price lock and the first-trip guarantee in the terms you agreed to then still apply to that subscription.

After any free trial, you pay in advance by card through Stripe, our payment provider. The subscription renews automatically at the end of each period, at the same price unless we have told you of a change under section 14, until you cancel.

If a renewal payment fails, Stripe retries your card over the following days, and your service continues while it does. If the payment cannot be collected the subscription ends, and section 8 applies from the date the last paid period ran out.

The price excludes Stripe's own card-processing fees on your passengers' payments, which Stripe charges to your Stripe account, not to us.

Marketing email allowance. Every plan includes up to 25,000 marketing emails a calendar month for each booking site. Marketing emails are the ones that sell a seat somebody has not booked yet: new-trip announcements and head starts to your list, the thank-you after a trip that shows your next trips, rally emails when a trip needs more passengers, list sign-up confirmations, and invitations to customers you import, with their reminders. Emails about a seat somebody has booked or a quote they asked for — confirmations, reminders, boarding details, changes, cancellations, refunds and quote emails — never count towards the allowance and are never limited. There is no limit on how many people can be on your list.

The allowance is a limit. A marketing email that would take you over it is not sent, and that includes the automatic ones: once the month’s allowance is used, they stop until the next month or a top-up. When you send to your list, the tools tell you how many you have left, and a send that is bigger than that is not sent at all, so nobody gets half a promotion; you can choose a smaller audience or buy a top-up.

Top-ups. A top-up adds 25,000 marketing emails to one booking site for the calendar month you buy it in, and costs £29. It is the same on every plan, whether you pay monthly, every six months or yearly, and you can buy more than one in a month. Unused allowance and top-ups do not carry over to the next month. To buy one, email team@theconductor.uk and we will send you a payment link; your allowance goes up as soon as it is paid. Top-ups are an optional extra and do not change the price of your plan. The top-up price can change in the same way as our other prices (section 14), but never for a top-up you have already bought.

Separately, to protect the email reputation your booking confirmations depend on, your marketing emails are paused automatically if too many of them bounce or are marked as spam. We email you when that happens, and booking emails carry on as normal throughout.

The first-trip guarantee is no longer offered; see launch prices and the first-trip guarantee above if you subscribed before 8 October 2026.

5. Your passengers' payments are yours

When a passenger pays for a seat, the card payment goes directly into your own Stripe account, which you connect during setup. The money never passes through us, we never hold it, and we cannot move it. Stripe's fees on those payments are between you and Stripe.

Because the money is yours, so is everything about it:

  • Refunds and cancellations. The tools let you refund a passenger, cancel a trip and refund everyone on it, and set your own cancellation rules. Whether and when to refund is your decision, made under your own terms with the passenger.
  • Chargebacks and disputes are raised against your Stripe account and are yours to answer. We will give you the booking record to help.
  • Cash and bookings taken by phone are recorded in the tools if you choose to record them; we have nothing to do with the money.

We are not a party to the contract between you and your passenger, we are not a ticket agent, and we are not the merchant of record for any seat.

6. You are the operator

You are the carrier. You hold the operator's licence, the insurance and the responsibility for running every trip you put on sale — the vehicle, the driver, the route, the timings and the safety of the people on board. The Conductor is software that takes the bookings; it does not run coaches and it does not check that you are entitled to.

You are responsible for:

  • the accuracy of every trip, price, pick-up point and time you publish;
  • your own terms and conditions for passengers, which the tools show on your booking site and link from every confirmation. We have a plain-English starting draft you may use, but they are your terms and it is your job to make sure they are right for your business and lawful;
  • everything you say to passengers in the messages you send through the tools;
  • complying with the law that applies to your business, including consumer, passenger-transport and data-protection law;
  • telling your passengers anything they need to know if you stop using The Conductor (section 8). We will not contact them for you.

7. Coach travel, and same-day tickets

The Conductor is for selling seats on coaches and hiring out coaches.

You may include entry tickets on trips that are back within 24 hours of setting off, with no overnight stay, using the tools' “Ticket included” option. You must have bought the tickets, or be going to buy them, from the venue or an authorised seller, and be allowed to include them in a trip. Buying them, and honouring what your trip page and your passenger terms say about them, is your responsibility, not ours.

Do not use The Conductor to sell trips with accommodation, or trips of 24 hours or more, or any other package of travel services sold together for one price. Selling a package brings obligations under the Package Travel and Linked Travel Arrangements Regulations 2018 (financial protection, in particular) that the service is not designed to meet and that we take no part in. If you do, you do so entirely on your own account.

8. Cancelling, and what happens when you leave

You can cancel at any time, with no notice period, by emailing us at team@theconductor.uk from the address you signed up with; we cancel the renewal the same working day and confirm by email. Cancelling does not stop the service early: you keep everything until the end of the period you have already paid for, and no refund is made for the remainder of that period.

A free trial that ends without a card on file ends the same way: the day the trial ends counts as the day the paid period ends, and the steps below follow from it. Nothing is ever charged for a trial.

What happens next is the same whether you cancelled, or a renewal payment could not be collected. Every step is on a fixed date that we email you in advance, and none of it can be moved by anything you or we do in the tools:

  1. When you cancel Nothing changes that day. We email you the date your paid period ends. Your booking site keeps selling and the tools keep working.
  2. A week before the paid period ends We email a reminder, with the date, and a pointer to Export everything.
  3. The day the paid period ends — your site goes dark Your public booking site stops taking bookings and enquiries and shows a short notice at your web address saying that your business is no longer taking bookings there, with your public phone number if you have set one. Passengers' booking-management links and boarding passes on that site stop working at the same time. The automatic emails to your passengers stop the same day — the reminder before a trip, the thank-you after it, waiting-list alerts and quote reminders — so if you are running trips after that date, tell those passengers yourself. Your sign-in stays open, read-only.
  4. The 30 days after that — your read-only window You can sign in, look at everything and download it: every booking with the passenger's name, email, mobile, pick-up and access needs; every enquiry; every waiting list — as spreadsheet files. You cannot put anything new on sale. We email you a week before this window shuts.
  5. 30 days after the paid period ended — your sign-in closes and passenger details are deleted The personal information on your bookings, enquiries and waiting lists is erased from our systems: names, email addresses, mobile numbers, pick-up and access needs, and the contents of enquiries. We email you to confirm it has been done. This cannot be undone.

What is kept after that: your trips, pick-up points and prices; every booking's seat count, amount paid, refund and payment reference, with nobody's name on it — the record your accounts need; your own business details; and the connection to your Stripe account. If you subscribe again, your site comes back at the same address with all of that in place. The passenger details do not come back. That is what the 30 days are for.

Trips already sold when your site goes dark. If you have taken bookings for trips dated after your paid period ends, the passengers' money is already in your Stripe account and the contract to carry them is yours. It is your responsibility to run those trips or refund those passengers, and to tell them how to reach you, because their links to your booking site stop on the day. Download your passenger lists before the day; the reminders exist so that you do.

Because the dates are fixed by the period you paid for and cannot be changed, we recommend not cancelling until you have decided what to do about any trips still on the calendar.

9. Your passengers' data

Under UK data-protection law, you are the controller of your passengers' personal data — you decide to collect it and what it is for — and we are your processor: we hold and use it only to provide the service to you, on your instructions, which are these terms. In particular:

  • we use passengers' details only to run your bookings — confirmations, reminders, boarding lists, refunds you make, and messages you send;
  • we never sell, share or use them for our own purposes, and we never contact your passengers except in your name, on your behalf, as part of the service;
  • we keep them only for as long as the retention schedule in the Privacy Policy says, and delete them on the timetable in section 8 when you leave;
  • we use third-party providers for hosting, email and card payments, each under a contract that meets UK GDPR, and will tell you before we change one that handles passenger data;
  • we keep the data secure, confine access to people who need it, and tell you without undue delay if we become aware of a breach affecting your passengers;
  • we help you answer a passenger who exercises their rights, and give you your data back — that is what Export everything is for — at any time while you subscribe and for 30 days after your paid period ends.

In return, you are responsible for telling passengers how their details are used (your booking site carries a short notice for this), for having a lawful basis to collect them, and for the contents of any message you send through the tools. Marketing emails (section 4) go only to people who booked with you before, who signed up to your list, or who confirmed they want to hear from you after you imported them. Every one carries a working unsubscribe link. You must not use the tools to email anyone who has opted out, or import anyone you have no lawful basis to contact.

10. Acceptable use

Use the service for your own coach business, lawfully and honestly. Do not use it to sell anything other than coach travel; to publish trips you do not intend to run; to send unsolicited email; to upload anything unlawful, defamatory or that infringes somebody else's rights; or to try to get at another operator's site or data. Do not resell, sublicense or share access to the service.

If we reasonably believe you are breaking these rules or the law, we may suspend your booking site or sign-in while we look into it, and will tell you why.

11. Availability and support

We aim to keep the service running at all times and to fix problems quickly, but we do not guarantee uninterrupted availability. We may take the service down briefly for maintenance and will try to do so outside the hours coach bookings are usually made. The service depends on third parties (our hosting, email and payment providers) whose outages we cannot control.

Support is by email at team@theconductor.uk. We respond during UK business hours and aim to answer within one working day.

12. What we don't promise

The Conductor captures, confirms and takes payment for the enquiries and bookings you already receive. It does not generate enquiries, and we make no promise about the number of bookings you will take or the revenue you will make. The figures on our website are illustrations, not forecasts.

13. Liability

We will provide the service with reasonable care and skill. Our total liability to you, whether in contract, delict (tort) or otherwise, in any twelve-month period is limited to the subscription fees you paid us in that period. We are not liable for loss of profit, loss of business or indirect loss, or for anything arising from your passengers' payments, refunds or disputes, from the running of your trips, or from your own breach of these terms or of the law.

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.

14. Changes to the service and to these terms

We may change these terms and the prices, except that a launch price you subscribed at before 8 October 2026 stays locked for two years, as section 4 says. We will email you at least 30 days before a change to the price or a change to these terms that is not in your favour takes effect. Price changes apply from your next renewal after that notice. If you do not accept a change, cancel before it takes effect and section 8 applies from the end of your current paid period. Continuing to use the service after a change takes effect means you accept it.

The version in force is always the one at theconductor.uk/terms/, with the date at the top.

15. Ending the agreement

You end it by cancelling (section 8). We may end it by giving you 30 days' notice by email, in which case we refund the unused part of any period you have paid for, and section 8 then applies. We may end it immediately if you seriously or repeatedly breach these terms, or if we are required to by law; in that case the 30-day read-only window in section 8 still applies unless the breach makes that unlawful or unsafe, and no refund is made.

16. General

These terms, the Privacy Policy and the pricing page are the whole agreement between us. Neither of us relies on anything said or written outside them. If part of these terms turns out to be unenforceable, the rest still applies. You may not transfer the agreement to anyone else without our written consent; we may transfer it to a successor to our business, and will tell you if we do. Nobody else has any rights under it.

These terms are governed by the law of Scotland, and the courts of Scotland have exclusive jurisdiction.
